This release makes several important changes to the way sales people's calendars are synchronised with external calendars. Doing so not only lets us streamline the process but lets us introduce a much-requested new feature, the ability to include links to online meetings in your invites.
A note about synchronisation
In the past, LeadDesk have used different third-party applications to handle calendar synchronisation:
- Since early 2024, all new calendar projects in LeadDesk use Cronofy to synchronise to a range of external calendars, including Outlook and Google calendar.
- Before that date, some LeadDesk calendar projects used Google's synchronisation tool when synchronising with Google calendar.
The updates with this release only apply to calendar projects being synchronised using Cronofy. If you want to take advantage of the new updates, consider creating new calendar projects that can be synchronised with Cronofy.

External calendar sends invites
- Changed the way that synchronised calendars send invites. These are now handled completely by the external calendar, allowing sales people to see responses to the invites directly.
- This change eliminates duplicate calendar entries - a meeting booked in LeadDesk will only appear once in the synchronised calendar.
- If the salesperson does not synchronise their calendar, invitations will be sent by LeadDesk.
Other synchronisation updates
- Invites will no longer show the sender as "LeadDesk Calendar" if the project or template used the tag {salesperson.email} as the sender address.
- Very long Location information will now be truncated to 250 characters. This ensures invitations are sent, rather than being rejected by Cronofy.
Send invites to on-line meetings
- Calendar invites can now automatically generate and send links to virtual meetings for Google and Office 365.
- The booking agent must first select a sales person in the Organizer field. If that sales person synchronises their calendar with Google or Office 365, booking agent will be able to tick Include virtual meeting link.

Both the salesperson and the contact will receive the virtual meeting link and can have their meeting in Teams or Google.
Notes about virtual meetings
- Virtual meetings only work for Google and Office 365.
- Virtual meetings must be enabled in Google or Office 365, preferably before switching on synchronisation. If synchronisation had already started, the salesperson will need to stop synchronisation and restart it before virtual meetings are available.
- Configuration of virtual meetings is handled by the external calendar. If there are problems with the links, users should contact their own IT support team, rather than LeadDesk.
